Full management service
Robert Alan Homes can undertake a full management of your property which effectively means that we will be responsible for finding a professional tenant, referencing the tenant, drafting all the associated paperwork – which will include the assured tenancy agreement, direct debit mandates and any guarantor paperwork we may require. Our management administrators will then take instruction from yourself, instruct our professional photographers, obtain an EPC and coloured floor plan and draft and create a glossy brochure.
After this has been completed we will then view the property with all potential applicants, once we have secured the right tenant for your property, we will then start the process of comprehensive referencing. This will include; bank references, county court judgements searches, bankruptcies, previous landlords, and work history. Once our administrators are satisfied that the tenants are suitable for the property, we will then start to negotiate on time scales, and agree on an inventory of the property. The final stage of this will be to come and report this all back to you, our client.
A date will then be set for the move and all associated financials will be setup and collected by Robert Alan Homes on a monthly basis. This is monitored through a specialist management system, so you can rest assured you will always receive your rent on time, unless there are any inter bank problems. At this point, your rent will be then secured and sent to an account of your designation. Once the tenant has moved in, this will be then passed to the maintenance/management department who will then liaise with the tenants to carry out inspections every four months to establish a relationship with the tenant and a comprehensive overview in relation to your property.
Two months prior to the contract coming to an end, one of our representatives will attend the property and will negotiate a new tenancy agreement. At this point, we will show the tenants market trends and other associated properties in the area, i.e. how the rent compares to other similar properties in the area. We will of course liaise with you our client so that you may instruct us in relation to how you’d like to proceed. If, at that point, the tenants decide that they want to leave the property at the end of the agreement, then we will immediately place the property on the market to rent, thus giving us at least eight weeks to find new tenants for you. If they decide to stay, then we will draft a new 12 month agreement, of which the tenants will sign immediately.
We will find a tenant, or tenants we will reference them, we will draft all associated paperwork, we will liaise with our clients, we will set up all standing orders, and at that point, we will step out of the equation. It will be for you, the client, to manage any expectations on a daily basis including rent reviews, inventories, collecting rent and any associated maintenance problems and anything else that’s connected with the tenants’ needs. We will contact you two months prior to the contract ending, and also liaise with the tenants to establish whether or not they’d like a new 12 month agreement, or if they’re leaving. At this point we will inform you, our client and take instructions.
